1. It runs automatically

The best backup schedule is the one that happens without anyone remembering to do it. Manual backups get skipped during busy weeks — which are exactly the weeks something is most likely to go wrong. Look for backups that run on their own, on a schedule, every day.

2. It stores copies off-site

A backup sitting on the same premises — or the same server — as the original is not much protection. Fire, theft, hardware failure, or a site-wide attack can take both at once. Off-site cloud storage means your copy survives even if your building or server does not.

3. You can actually restore — quickly

Backing up is the easy half; restoring is the half that counts. Check how a restore works and how long it takes, because in a real incident, speed of recovery is the whole point. A backup you cannot restore quickly is barely a backup at all.

4. It keeps enough history

Problems are often discovered days or weeks after they start — a file quietly corrupted, a change nobody noticed. If your service only keeps the most recent copy, you may find every backup already contains the problem. Enough retention lets you roll back to before things went wrong.

5. It covers everything, including your cloud apps

Make sure the service covers all the data you care about — files, your website, and the data inside Google Workspace or Microsoft 365. Those platforms are reliable, but they are not a backup: a deletion or a compromise syncs everywhere. A proper backup protects you from that too.
